Booking Your Place
To join us on retreat, we ask for a £500 deposit to reserve your place. This deposit is non-refundable but goes toward your total retreat cost. Your booking is confirmed once this payment has been received, we’re not able to hold places without it. The remaining balance is due 30 days before the retreat begins, and we’ll send a gentle reminder ahead of time. Payment plans are available, please just ask.
Cancellations & Changes
We understand that life is unpredictable. If you need to cancel more than four weeks before your retreat, your deposit will be retained, but any further payments will be refunded. If it’s helpful, we’re happy to transfer your booking to another retreat within the next year, space allowing.
If you need to cancel within four weeks of the retreat, we’re unfortunately unable to offer any refund, as costs will already have been committed on your behalf. If you find someone to take your place, they’re welcome to join with our approval.
We kindly ask for understanding here - our retreats are small, deeply planned offerings, and last-minute changes have an effect on the whole group and team.
Travel & Transfers
We’ll help coordinate a group transfer from a nearby meeting point to the retreat venue. Pricing for this shared transport will vary depending on location and local rates, and we’ll let you know in advance. You are responsible for arranging your own travel to the pickup point, and we strongly recommend travel insurance that covers delays, cancellations, and other unforeseen events, as we cannot cover these costs.
Participation & Wellbeing
All workshops, movement practices, walks, and creative sessions are optional, and you are invited to listen to your own needs throughout. You join all retreat activities at your own discretion and responsibility.
If you’re working with any physical or mental health conditions, particularly where medication is involved, we ask that you let us know beforehand. This helps us hold the retreat space safely and ensures the experience is supportive for everyone.
Please note that our retreats are not therapeutic spaces in a clinical sense. While they can be deeply nourishing and transformative, they are not designed to replace medical or psychological care.
If you’re travelling from abroad, you are required to have health insurance that covers treatment and return travel in the case of emergency.
Group Culture & Community Care
Meadowsweet retreats are rooted in shared experience. We ask everyone who joins us to come with openness, kindness, and a willingness to meet others where they are. These are not private or one-on-one retreats, our intention is to hold space for connection, creativity, and collective presence.
Everyone’s journey is different, and we trust that the mix of personalities, practices, and quiet moments will offer what is needed. If something doesn’t land with you, that’s okay—we encourage curiosity and respectful space for difference.
If a guest’s behaviour becomes disruptive or harmful, we reserve the right to ask them to leave, with no refund offered. This is rare, but part of holding a safe space for all.
Phone Use & Content Sharing
To protect the quiet and spaciousness of the retreat, we ask that phones be used mindfully and never during shared meals, group sessions, or workshops. Phone calls should be taken outside of communal areas, and only when necessary.
Please ask before photographing other guests. Professional photography or filming for commercial use—such as content for blogs, social media promotion, or branding—is not permitted. This is a space to arrive as yourself, not as your work.
If We Have to Cancel
In the unlikely event that we must cancel a retreat, you’ll receive a full refund of all payments made. We recommend waiting until the retreat is fully confirmed (usually six weeks before) before booking non-refundable travel. We cannot cover travel costs, missed work, or other personal losses due to a cancellation—please do take out comprehensive travel insurance.
A Note on Responsibility
We do our very best to create a thoughtful, safe, and enriching experience for everyone. At the same time, we are a small team working closely with nature, seasons, and the unknown. We reserve the right to make changes to the retreat schedule, facilitators, or venue if necessary.
We also reserve the right to recover costs if damage is caused to the space, land, or property.
